Nine times out of ten because SPF, DKIM and DMARC are missing or wrong on the sending domain — publish them properly and most of the problem disappears. The rest is reputation: warm up a new domain gradually, keep your lists clean, and never send from an address that cannot receive replies.

It is deleted with the mailbox. Export it to a local mail client over IMAP, or forward it to another address first, if there is any chance you will need the archive later.

Two ways: a single mailbox whose credentials the team shares, or an alias that forwards to each person's own address. The alias is usually the better answer — nobody shares a password, and replies keep their real sender.
